Description:
This Program Assistant is a key member of the Marine Fisheries Commission (MFC) office, administering and coordinating a variety of tasks and serving as a primary point of communication between the Division of Marine Fisheries staff, the Marine Fisheries Commission, and the public. Housed in the Division Director's Office, this position reports directly to the Marine Fisheries Commission Liaison. This position accomplishes assigned tasks through communication, organization, and leadership support. This position, along with the Marine Fisheries Commission Liaison, ensures effective operation of the Marine Fisheries Commission office and ensures all Commission meetings are successfully accomplished. Key Responsibilities: Plan, coordinate, and execute all Marine Fisheries Commission and Advisory Committee meetings with MFC Liaison. Apply and ensure compliance with current legislation, rules, bylaws, policies, and guidelines. Effectively and professionally communicate with internal and external stakeholders on various topics ranging from coordination of Division staff to phone calls from the public on marine resources issues. Independently manage the Marine Fisheries Commission Office, including office coordination, budget monitoring, purchasing, contracts, etc. Execute assigned responsibilities efficiently, on time, and with minimal supervision.
Requirements:
To qualify for this position, applicants must document on the application that they possess ALL the following: Experience planning, coordinating, or organizing a variety of appointments or meetings. Experience in office management or proficiency in completing administrative tasks. Proficient in the use of spreadsheets and word processing. Management Preferences: Demonstrated ability to communicate effectively and adapt the method of communication to the audience. Demonstrated self-starter who is detail oriented and highly organized Excellent writing and editing skills Excellent relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders Knowledge of natural sciences and/or natural resource management Proficiency in the use of Adobe Acrobat Pro Proficiency in the use of Word, Excel, PowerPoint, Outlook, Teams Working knowledge of video conferencing platforms (i.e., Zoom, WebEx, Google) Minimum Education and Experience Requirements High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
